Job Description


Join a fast-paced, high-energy production team as a full-time Administrative Assistant in Durham, NC. In this on-site role, you’ll work directly with our Chief Operations Officer (COO) to track orders, manage reports, and coordinate documentation that keeps our production running on time. This is not a traditional office job—you’ll be active on the factory floor every day, surrounded by embroidery machines, forklifts, and production teams in motion.

Success in this role means being proactive, reliable, and comfortable using technology to solve problems and improve systems.

Compensation:
  • Starting pay: $26 per hour
  • 90-day and 12-month performance reviews with advancement opportunities

Work Schedule:
  • Full-time, on-site in Durham, NC
  • Overtime as needed during busy seasons
  • High season: January through June (Saturday work may be required through September)

Key Responsibilities:
  • Support the COO and operations leadership with real-time updates, reports, and project tracking
  • Walk the floor daily to monitor production, confirm order status, and check on materials and workflow
  • Coordinate internal documentation and communication between departments
  • Build and maintain Excel reports and dashboards
  • Use project management tools (Monday.com, Asana, or similar) to track tasks and deliverables
  • Manage documentation using Office365, SharePoint, and Zoho
  • Prepare meeting notes, task lists, and executive summaries
  • Identify opportunities to automate workflows and improve efficiency with AI tools
  • Collaborate closely with production, warehouse, and machine teams

Work Environment:
  • On-site at our Durham, NC production facility
  • Active factory and warehouse setting with embroidery machines, forklifts, and production equipment
  • Moderate to high noise levels and constant movement
  • Standing and walking required daily
  • Fast-paced, hands-on environment (not a quiet office setting)

Required Qualifications:
  • Bachelor’s degree
  • 3+ years of experience supporting senior or executive leadership
  • Experience working in an industrial or manufacturing environment
  • Advanced Excel skills (pivot tables, XLOOKUP, conditional formatting, filtering)
  • Strong knowledge of Office365 (Teams, SharePoint, OneDrive, Outlook)
  • Familiar with project management tools (Monday.com, Asana, Trello)
  • Experience with Zoho, Dynamics 365, Bitrix 24, or similar systems
  • Comfortable learning and using AI tools (ChatGPT, workflow automation)
  • Excellent communication, organization, and follow-up skills
  • Able to stand, walk, and move safely around production equipment
  • Self-starter who embraces new technology
