Job Title: Administrative ClerkÂ
Pay Range: $19.00 - $20.00
Job Duties:Â
Responsibilities
- Process Domestic and International Orders:Â Accurately enter and manage customer orders, ensuring compliance with regulatory, export, and documentation requirements for medical device shipments.
- Review Order Accuracy:Â Validate incoming orders for completeness, pricing, product codes, shipping terms, and customer specifications, ensuring alignment with internal policies and external regulations.
- Coordinate Cross-Functionally:Â Collaborate with Sales, Customer Support, Manufacturing, Quality Assurance, and Shipping departments to ensure accurate and timely order fulfillment.
- Monitor Fulfillment and Delivery:Â Track order progress from entry through shipment and delivery, proactively addressing issues or delays that may affect product availability or customer satisfaction.
- Maintain Documentation and Compliance:Â Ensure all order processing documentation meets regulatory and quality assurance standards, including FDA, ISO, and international compliance requirements.
- Customer Communication:Â Serve as a point of contact for order-related inquiries, providing timely updates and resolving issues with professionalism and a customer-first approach.
- Inventory Coordination:Â Work with Inventory Control to confirm product availability, backorders, and production timelines, particularly for temperature-sensitive or regulated items.
- Continuous Improvement:Â Identify and support process improvements to enhance order accuracy, reduce lead times, and support operational efficiency in a GMP-compliant environment.
- Administrative Support:Â Assist with generation of reports, record-keeping, filing, and other administrative duties that support order processing and logistics functions.
- Support Quality and Mission: Uphold the company’s commitment to scientific integrity, customer satisfaction, and global health by ensuring accuracy and excellence in every order handled.
Skills/Abilities
- Understanding of order processing, shipping, and inventory control practices
- Familiarity with ERP systems and order management software
- Working knowledge of documentation and compliance requirements in a regulated industry (e.g., medical devices, healthcare, or laboratory products)
- Basic accounting or invoicing procedures
- Knowledge of FDA, ISO, or quality system regulations (a plus)
- Strong data entry skills with a high degree of accuracy and attention to detail
- Proficiency in Microsoft Office applications, especially Excel and Outlook
- Excellent written and verbal communication skills
- Organizational and time management skills to handle multiple tasks and deadlines
- Strong problem-solving skills for addressing order discrepancies and customer issues
- Ability to maintain accurate records and follow standard operating procedures (SOPs)
- Customer service orientation with a professional, responsive approach
- Ability to work collaboratively with cross-functional teams in a fast-paced, regulated environment
- Ability to adapt to evolving processes and systems while maintaining accuracy
