As a Receptionist / Administrative Support Coordinator, you’ll play a key role in creating a welcoming atmosphere while ensuring smooth administrative processes. You’ll work closely with the Office Manager and team members to deliver exceptional service and streamline office functions, making a positive impact every day.
What You’ll Do:
- Welcome visitors, manage parking arrangements, and coordinate conference room setups to ensure seamless appointments and meetings.
- Support the Office Manager by ordering office supplies, snacks, and materials needed for daily operations.
- Manage visitor registration, issue badges, and coordinate escorts to adhere to site security protocols.
- Greet and assist visitors, directing them to the appropriate contacts and facilitating introductions.
- Oversee office supply inventory, including monitoring stock levels, submitting purchase requests, and coordinating ordering and receiving activities.
- Maintain cleanliness and inventory levels in breakrooms and kitchen areas to support a hygienic, welcoming environment.
- Handle incoming mail and deliveries by sorting, forwarding, and routing correspondence efficiently.
- Cultivate positive, professional relationships with vendors, staff, and visitors to promote courteous interactions.
- Assist with facilities and administrative initiatives by completing related tasks and supporting the Office Manager as needed.
- Uphold a safe, secure, and compliant work environment in line with company policies and procedures.
What You’ll Bring:
- High school diploma or GED required; an associate degree is preferred.
- 1-2 years of experience in a receptionist, front desk, or administrative support role.
- Proficiency with standard office equipment and managing incoming calls.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multi-task and prioritize in a fast-paced environment.
- Dependable, patient, and professional with keen attention to detail.
- Discretion in handling sensitive information.
- Experience with Microsoft Office and common office management systems is a plus.
